eMessage

Please read this information carefully before using eMessage for the first time.

The University Health Services secure eMessage system allows you to receive results of diagnostic tests and to communicate electronically with your UHS healthcare provider about specific aspects of your medical care. UHS eMessage is similar to traditional email, but has been developed to maximize the confidentiality of electronic communications between you and your UHS healthcare provider and to ensure that your messages are received and responded to in a timely manner.

All eMessage correspondence between you and a UHS healthcare provider is printed out and becomes a part of your UHS medical record. All UHS medical records are confidential and can only be released with your written consent or by subpoena from a court of law.

When Should I Use eMessage?

You should use the eMessage system only if:

  1. Your UHS healthcare provider has specifically asked you to use eMessage to send information or updates on your health status following an appointment
  2. Your UHS healthcare provider initiates communication with you through the eMessage system

When Should I Not Use eMessage?

Using eMessage is not appropriate for:

  1. Acute or urgent medical problems or emergencies. For severe or life-threatening illnesses or injuries, go to a local emergency room or call EMS at 911. If calling from a campus phone, call 9-911. If you are ill or have been injured, you can always call our 24-Hour Nurse Advice Line at (512) 475- NURS (6877). Our nurses can help you determine whether self-care, a UHS appointment, coming in to the UHS Urgent Care Clinic, or going to an emergency room is most appropriate for your symptoms.
  2. Scheduling an appointment at UHS. To schedule an appointment call (512) 471-4955 8:00 am – 5:00 pm, Monday – Friday.
  3. Asking your healthcare provider questions about a symptom, illness, or injury for which you have not already been seen by that healthcare provider. For example, if a UHS healthcare provider has treated you for bronchitis, it is not appropriate for you to use eMessage to communicate with them about unrelated medical problems in the future such as a skin or gastrointestinal problem. Call the UHS Nurse Advice Line or schedule a UHS appointment for any new health problems.

How Do I Use eMessage System?

The UHS eMessage system is located on a secure file server connected to UT's mainframe. You will need to log in with your UT EID and password each time you access eMessage. Messages both to and from your healthcare provider will be located on our secure website. However, you will receive a traditional email anytime a message from UHS is waiting for you in our confidential eMessage system. This generic email message will alert you to the availability of an eMessage, but will not contain any confidential information. For this reason, your email address on file with UT must remain current. Traditional email messages are not secure and will not receive a response from UHS healthcare providers.

To read an eMessage sent to you by a UHS healthcare provider:

  1. Click on the "Log on to eMessage" link at the bottom of this page.
  2. Enter your UT EID and password and click "Log In."
  3. Click on the message you wish to read.
  4. If you need to continue your conversation click on the "Reply" button. Please do not respond with "thanks" messages because this may delay the inclusion of important documentation into your UHS medical record.

To send an eMessage to a UHS healthcare provider:

  1. Click on the "Log On To eMessage" link at the bottom of this page.
  2. Enter your UT EID and password and click "Log In."
  3. The eMessage homepage will appear. Click the "Compose" button at the bottom of the screen.
  4. When the message window appears, review the demographic information imported from UT's mainframe system and make updates as appropriate by clicking on the "Address Incorrect?" button. This will take you to UT's central webpage for updating information. Be sure your email address is correct so that you will receive notification about the availability of messages from our eMessage system.
  5. Select the specific healthcare provider to whom you want to send an eMessage. The system will not allow you to send an eMessage if you do not select a provider.
  6. Enter your message in the text box.
  7. Click the "Send" button.

Your message will be reviewed and responded to within 24 hours, excluding UT holidays, weekends, and between Christmas and New Year's Day, unless your healthcare provider has made other arrangements with you.

What Do I Do if I'm Having Problems with the eMessage System?

If you have a problem using the eMessage system, call the number of your healthcare provider's module located on the Patient Instruction Form you were given when you checked out at the end of your UHS visit, or call (512) 471-4955, 8:00 am – 5:00 pm, Monday through Friday.
