Clearance Visits

Types of Visits

Students participating in an official education abroad program that is fifteen days or longer are required to obtain a medical clearance from a healthcare provider, who will complete and submit the mandatory health clearance form on their behalf. If you’re unsure about what is required for your program, contact Texas Global and ask to speak with your program coordinator or program faculty leader.

Additionally, the International Oversight Committee (IOC) has the authority to require that students obtain clearance visits before participating in any UT Austin related study abroad program.

Students can complete their clearance visit at University Health Services. It is recommended to begin as soon as possible. You do not have to be accepted into your program to begin the clearance process. Once your clearance form has been processed by Texas Global Risk and Safety, it is valid for one year.

Lastly, you do not need to obtain a country-specific clearance; however, depending on your travel destination(s), your healthcare provider may advise you to schedule a travel consultation.

To have your health clearance exam completed at UHS:

If you do not have any conditions that require ongoing treatment or monitoring by a physician or healthcare provider and just need the clearance visit – follow these steps:

  1. Complete your health clearance form.
  2. 2. Schedule an appointment to be seen by a healthcare provider at UHS. The appointment can be made within the MyUHS/CMHC portal or by calling 512-471-4955. Both in-person and telehealth appointment options are available. (Telehealth appointment options are only available to students who are currently living in Texas.)
  3. If you are attending an in-person appointment, bring the completed form with you to the appointment.
  4. If you are attending a telehealth appointment, upload this form to the MyUHS/CMHC portal before your visit. Failure to complete and upload this form prior to your appointment may result in your appointment being rescheduled. To upload:
    1. Log into the portal.
    2. Click on Messages.
    3. New message
    4. I want to submit a form, photo or medical record related to a UHS appointment.

If you have any conditions that require ongoing treatment or monitoring by a physician or healthcare provider, you may be required to obtain a completed specialist form in addition to the health clearance form.

This appointment can be completed in-person or virtually. Call 512-471-4955, option #4 to schedule. To facilitate both onsite and virtual visits, please follow these steps:

  1. First, complete the health clearance form by following the instructions above.
  2. Next, access the specialist report form, which is available for printing.
  3. Fill out the top portion of the specialist form, ensuring that you sign it in the designated space labeled "STUDENT SIGNATURE."
  4. Submit the signed Specialist Report form to your specialist, either by sending it electronically or delivering it in person.
  5. Request that your specialist completes and signs the remaining sections of the form.
  6. The completed and signed form should be sent directly back to UHS by the specialist, not the patient or student. Submit through a HIPPA compliant fax number. The UHS fax number is 512-475-8282.

Privacy and Security
To safeguard the privacy and security of your information, it is important to maintain HIPAA compliance when transmitting the signed Specialist Report form to your specialist. We ask that you follow these steps:

  • Call your specialist's office and inform them that you will be sending a health-related form containing PHI (Protected Health Information).
  • Request a HIPAA compliant fax number from the specialist's office, ensuring that the transmission will adhere to HIPAA regulations.
  • Alternatively, if your specialist offers a secure portal for transmission, utilize that secure method.

By using a HIPAA compliant fax or your specialist's secure portal, you help ensure the confidentiality of your personal health information during the exchange between your specialist and University Health Services (UHS).

Before Your Appointment
If your appointment is at UHS, bring your immunization records with you to the appointment. If your appointment is telehealth, upload the records to your MyUHS/CMHC portal.

Cost
The clearance visit costs $30 and the fees are not covered by insurance, regardless of your insurance coverage. You are responsible for the $30 charge.

No Show and Late Cancellation Fees
You will be charged a $25 fee if you fail to show or if you cancel or reschedule your appointment less than two hours prior to the scheduled appointment time.

Confidentiality and Failure to Submit
Information obtained during the clearance process is confidential and is not used during the application process. Failure to submit a clearance form by the deadline will result in the student entering the misconduct resolution process and may result in withdrawal from the program without a refund.

Alternative Clinic Options
You can opt to visit another local clinic or your primary care provider to complete the clearance process. Please note: Texas Global does not accept clearances completed by Doctors of Chiropractic or Registered Nurses. See for recommendations on participating Austin-area clinics.

Submitting Your Forms
See the website for information on how and where to submit your forms. Please allow 5-7 business days after your form is submitted to Texas Global Risk and Safety for your clearance to show up as completed.

Students participating in an official education abroad program that is not affiliated with Texas Global may obtain a clearance exam from a UHS provider. If you’re unsure about what is required for your program, contact your program coordinator. Please begin this process as soon as possible.

Also, depending on your travel destination(s), your healthcare provider may advise you to schedule a travel consultation.

Many programs require participants to submit evidence of immunity or evidence of being vaccinated for preventable infections and/or screenings for tuberculosis infection. Most of these programs also require a healthcare provider to sign a program verification form that lists the specific required criteria.

Typical program criteria may include:

  • Verification of vaccination records
  • Ordering or reviewing antibody titers
  • Tuberculosis testing

Examples of programs that have immunity and tuberculosis testing clearance requirements include:

  • Association of American Medical Colleges (AAMC) requirements for students entering healthcare programs
  • Ascension Seton Medical Center/Dell Medical School volunteer programs

Immunity and/or tuberculosis testing-based clearances that do NOT require a physical examination can be booked by calling 512-475-8301, Monday-Friday from 8 a.m.-5 p.m. or be booked within the portal. If you have questions regarding your exam, call 512-475-8301.
